2. What Data We Collect
We collect different personal data depending on how you interact with us:
2a. Contact Form
When you submit our contact form, we collect:
• First name (required)
• Last name (if provided)
• Email address (required)
• Message content (required)
• Any additional information you voluntarily include in your message
• Date and time of submission
• IP address at the time of submission (for security and fraud prevention purposes)
2b. Newsletter Subscription
When you subscribe to our newsletter, we collect:
• Email address (required)
• First name (if provided)
• Last name (if provided)
• Date and time of subscription
• IP address at the time of subscription (for consent verification purposes)
We do not collect sensitive personal data such as health information, financial data or government identification numbers.
3. Legal Basis for Processing
We process your personal data on the following legal bases under the General Data Protection Regulation (GDPR):
3a. Contact Form
• Legitimate interests (Article 6(1)(f) GDPR): We process contact form submissions to respond to your enquiry and manage our business communications. This is in our legitimate interest to provide customer service and maintain business relationships.
• Contract performance (Article 6(1)(b) GDPR): Where your enquiry relates to a potential or existing service agreement, processing may be necessary to take steps prior to or in performance of a contract.
3b. Newsletter Subscription
• Consent (Article 6(1)(a) GDPR): You have given your explicit consent to receive our newsletter by actively subscribing through our sign-up form. Your consent is freely given, specific, informed, and unambiguous.
• Legitimate interests (Article 6(1)(f) GDPR): We retain subscription metadata (such as IP address and timestamp) for our legitimate interest in demonstrating proof of consent and preventing abuse.
4. How We Use Your Data
4a. Contact Form Data
• Responding to your enquiry or message
• Managing and maintaining records of our correspondence
• Providing information about our services where requested
4b. Newsletter Data
• Sending you our newsletter including news, updates and promotional content you have subscribed to receive
• Managing your subscription preferences
• Verifying and recording your consent in compliance with GDPR
• Analysing newsletter open rates and engagement statistics in aggregate, anonymised form
5. How We Obtain Your Consent
For newsletter sign-ups, we collect your consent through a clear and affirmative action — you must actively tick a checkbox or press a subscribe button on our sign-up form. We do not use pre-ticked boxes. We keep a record of your consent including the date, time, and the form you used to subscribe.
Contact form submissions are processed on the basis of legitimate interests (to respond to your enquiry) rather than consent. You do not need to provide a separate consent for us to respond to a message you have sent us.
6. Data Retention
6a. Contact Form Data
We retain contact form data for as long as necessary to respond to your enquiry and for a reasonable period thereafter in case of follow-up correspondence, typically up to 2 years. Where an enquiry leads to a business relationship, we may retain data for longer in line with applicable commercial record-keeping requirements.
6b. Newsletter Data
We retain your personal data for as long as you remain subscribed to our newsletter. When you unsubscribe:
• Your email address and name will be deleted from our active mailing lists within 30 days.
• A suppression record (your email address only) may be retained to ensure you are not re-added to our mailing list inadvertently. This is retained for up to 3 years.
• Consent records (including timestamp and IP address) will be retained for up to 3 years from the date of unsubscription, to demonstrate legal compliance.
7. Data Sharing and Third Parties
We use the following third-party service providers to operate our services:
• Squarespace Inc. — to host our website, receive and store contact form submissions, and send and manage newsletters. Squarespace acts as a data processor on our behalf and is contractually bound to process your data only on our instructions.
We do not sell, rent, or share your personal data with any third parties for their own marketing purposes. We may disclose your data if required by law or a court order.
If our service providers are located outside the European Economic Area (EEA), we ensure appropriate safeguards are in place (such as Standard Contractual Clauses) to protect your data in accordance with GDPR.
8. Your Rights Under GDPR
As a data subject under the GDPR, you have the following rights:
• Right to withdraw consent: Where processing is based on consent (e.g. newsletter), you may withdraw your consent at any time by clicking the ‘unsubscribe’ link in any newsletter email. Withdrawal of consent does not affect the lawfulness of processing prior to withdrawal.
• Right of access: You have the right to request a copy of the personal data we hold about you.
• Right to rectification: You have the right to request correction of inaccurate or incomplete personal data.
• Right to erasure (‘right to be forgotten’): You may request that we delete your personal data, subject to our legal obligations.
• Right to restrict processing: You may request that we limit how we use your data in certain circumstances.
• Right to data portability: You have the right to receive your personal data in a structured, machine-readable format and to transmit it to another controller.
• Right to object: You have the right to object to processing based on our legitimate interests, including for contact form processing.
• Right not to be subject to automated decision-making: We do not use your data for automated decision-making or profiling.
To exercise any of these rights, please contact us at hello@stylebylaursen.com. We will respond within 30 days. You will not be charged a fee for exercising your rights unless your request is manifestly unfounded or excessive.
9. Right to Lodge a Complaint
If you believe we have not handled your personal data in accordance with GDPR, you have the right to lodge a complaint with your national data protection supervisory authority. If you are located in the EU/EEA, you may contact the supervisory authority in your country of residence. A full list is available at: https://edpb.europa.eu/about-edpb/about-edpb/members_en
In Hamburg, Germany, the relevant data protection authority is the Hamburgische Beauftragte für Datenschutz und Informationsfreiheit (HmbBfDI), reachable at https://datenschutz.hamburg.de/.
10. Cookies and Tracking
Our newsletter emails may contain tracking pixels that allow us to measure open rates and click-through rates. This data is collected in aggregate and used only to improve our newsletter content. If you wish to prevent this, you can disable image loading in your email client. We do not use this data to build individual profiles or for targeted advertising. For information about cookies used on our website, please refer to our separate Cookie Policy.
11. Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our service providers maintain industry-standard security certifications. In the event of a data breach affecting your rights and freedoms, we will notify you and the relevant supervisory authority as required by GDPR (Article 33 and 34).
12. Changes to This Privacy Policy
We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. When we make significant changes, we will notify you by e-mail or by posting a notice on our website. The date of the latest revision is shown at the top of this policy.
